Morristown, New Jersey, December 17, 2008 –With the current economic downturn, companies of every size are looking for ways to do more with less.  Despite budget woes, innovative CIOs can make 2009 a stellar year, delivering value to the business by making and keeping some strategic resolutions that will save money, improve productivity and even reduce a company’s carbon footprint.  DataMotion, Inc., a leading provider of data governance services, recommends companies examine seven must-dos that executives can implement immediately to gain efficiencies and set an example for the new administration.

1) Shift Your Thinking: Historically, IT was the first area to be cut as an unnecessary expense. Today, however, with the availability of productivity- and efficiency-focused technologies, IT needs to work closely with the business side of the house to identify ways to cut costs and improve revenue.  Leveraging current technology investments, increasing efficiencies, automating processes, reducing costs and developing innovative ideas are all important components of this shift.

2) Prepare for More Legislation: Both government agencies and businesses should prepare for additional regulation and legislation to be put into effect with the new administration, as they work to improve internal security measures, and appoint a tech “czar” to modernize IT resources. Be prepared to respond quickly when called upon to provide instant transparency for every process.

3) Consider Cloud Computing: In the past computing was about data itself – piles of it.  Now cloud computing is all about allowing users to access technology-enabled services and data movement, process automation, business continuity and workflow via the Internet.  Cloud computing products are rapidly becoming must-haves for businesses, offering speed, low cost of entry, total cost of ownership, reduction of IT resources required, enhanced security, reduction in downtown and reduction in required bandwidth.  Take a look at every IT solution and assess whether cloud computing might be an appropriate model for you.  In today’s tough economic climate where TCO plays a big part in decision-making, cloud computing makes a lot of sense.

4) Get Efficient, and Go from Product to Productivity: Turn your tasks into processes for greater efficiency, and look for solutions where intelligence is integrated into those processes without the need for human intervention. The average employee spends 847 out of 2,000 hours in a work year using email – many of which are spent unproductively -- tracking emails, searching for content or transferring files.*  Significant productivity gains, which can lead to almost instant ROI, can be realized by automating any of these processes.

5) Mitigate Risk: While the technology to secure a company is more prevalent than ever, so are the number of risks, vulnerabilities and dangers to which a company is susceptible. With approximately 4.7 terabytes of e-mail data for every 1,000 employees in a company, that data poses a danger if not properly locked down.  Ninety-three percent of employees think e-mail is a critical piece of how they do business, but most of their e-mail is not secure.  Make sure your company’s business communications are secure, and you will go a long way towards preventing the costly consequence of a data breach or data leak.

6) Prepare for the shift from availability to transparency: Take governance of your company data much more seriously. In a DataMotion, Inc. and Osterman Research study 27% of 205 organizations experienced an accidental or malicious data leak during the past 12 months.  There is no reason to delay making the move from availability to transparency. With cost-effective and easy to implement data governance services readily available, make sure your business has the ability to conduct confidential online business.

7) Reduce Your Carbon Footprint: Do your best to reduce paper waste, air and car travel for employees and fuel use. It’s just a matter of time before companies will be expected to or mandated to reduce waste.  American workers spend an average of 47 hours per year commuting through rush hour traffic. This adds up to 3.7 billion hours and 23 billion gallons of gas wasted in traffic each year.**  Get ahead of the curve and implement efficient technologies that empower your employees to work remotely and securely.  For that matter, invest in software services that virtually eliminate the need for “old-fashioned” paper mail.  Living in the “digital age,” the greenest paper is no paper at all.

“President Elect Obama has promised to improve efficiencies in every facet of government by using technology and lessons learned from the private sector,” said Kelly Mackin, COO and President, DataMotion, Inc. “Every CIO should make a 2009 resolution to be one of those examples.”
